Privacy statement regarding the processing of personal data collected during events
Solstice Summit processes personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation) and applicable national data protection law.
1. Who is responsible for your data
Solstice Summit acts as the controller for the personal data you provide when registering for an event. You can reach us at contact@eventsapp.x23.ro for any question about how your data is handled.
2. What we collect and why
When you register for an event we collect the details you enter in the registration form: your name and form of address, email address, organisation, country, phone number and your chosen mode of attendance. We use these solely to organise and run the event you signed up for — confirming your place, sending you joining details, giving you access to materials and recordings afterwards, and inviting you to complete a feedback survey.
The legal basis for this processing is your consent, which you give by submitting the registration form. Where we need to keep records of an event for accounting or reporting purposes, the basis is our legitimate interest in documenting our own activity.
3. Who can see your data
Your data is accessible only to the Solstice Summit staff responsible for organising the event, and to the service providers who operate our email delivery and hosting infrastructure on our behalf. We do not sell your data, and we do not share it with co-organisers, sponsors or any other third party for their own purposes.
4. How long we keep it
Registration data is kept for as long as needed to run the event and to give you access to its materials, and is deleted at the latest three years after the event takes place, unless a longer period is required by law.
5. Photography and recordings
Some events are photographed or recorded, and online sessions may be recorded for participants who could not attend live. Where this is the case it is stated on the event page before you register. Recordings are shared only with registered participants. If you would prefer not to appear in a photograph or recording, tell us at the event or write to us beforehand and we will accommodate you.
6. Your rights
You have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. Where processing is based on consent, you may withdraw that consent at any time; this does not affect the lawfulness of processing carried out before the withdrawal.
