Privacy Policy

This policy explains how Solstice Summit (“Solstice Summit”, “we”) processes the personal data of people who use the events platform available at eventsapp.x23.ro, in accordance with Regulation (EU) 2016/679 (GDPR).

2. What personal data we collect

When you register for an event, we collect the data you provide through the form:

• first name and surname;
• email address;
• organisation (optional);
• telephone number (optional);
• the chosen mode of attendance (online or in person), for hybrid events;
• the date and time of registration, together with confirmation of your consent.

In addition, in order to operate and secure the site, we process minimal technical data (a strictly necessary session cookie and, in the server logs, your IP address).

3. Purposes and legal basis of the processing

• Managing event registrations and sending you the agenda and the joining link — legal basis: your consent (Article 6(1)(a) GDPR) and the steps taken at your request;
• Communications relating to the event (confirmations, changes, access to the video recording for registered participants) — legal basis: consent and our legitimate interest in organising the event;
• Platform security and the prevention of abuse — legal basis: legitimate interest.

4. Retention period

We keep registration data for as long as is necessary to organise and document the event and for a reasonable period afterwards (usually up to 24 months), unless you withdraw your consent earlier or ask us to erase it. Access links to recordings are temporary and expire after 7 days.

5. Recipients of the data

Your data may be processed, strictly for the purposes set out above, by providers who support us in delivering the service:

• the transactional email provider (Brevo / Sendinblue SAS), for sending confirmations and links;
• the website hosting provider.

We do not sell or disclose your data to third parties for marketing purposes.

6. International transfers

As a rule, our providers process the data within the European Union. Where transfers outside the EEA do take place, they are carried out only with appropriate safeguards, in accordance with the GDPR.

7. Your rights

As a data subject, you have the right to: access your data; rectification; erasure (the “right to be forgotten”); restriction of processing; objection; data portability; and withdrawal of your consent at any time, without affecting the lawfulness of processing carried out beforehand. You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP), www.dataprotection.ro.

8. Data security

We apply reasonable technical and organisational measures to protect the data: a secure connection (HTTPS), form protection, restricted access to registration data and encrypted storage of passwords.

We may update this policy. The version in force is always published on this page, together with the date it was last updated.
